Turning a vision into a plan

Good production management starts long before the first truck arrives.

We work with clients to understand what they are trying to achieve, then turn that vision into a practical production plan.

This could involve establishing the technical requirements, liaising with venues and other suppliers, planning access and logistics, scheduling crew and

equipment, and identifying potential issues before they become problems.

The technical side of an event doesn't exist in isolation. Staging, sound, lighting, video, power and crew all have to work together - often within tight timeframes and challenging environments.

Our role is to join those pieces together.

Recent project: Private wedding

A recent private wedding is a good example of how much can sit behind what appears to be a relatively simple event.

For this event, GSL provided:

• Temporary site power

• Staging

• Sound for the live band

• Speech sound in two separate locations

• Site lighting for the catering and event teams

• Atmospheric lighting, including battery uplighters

• Festoon lighting for the entrance

The event was taking place on private land, which brought additional logistical considerations around access and vehicle movements. The build also had to be completed within a tight timeframe.

Rather than simply arriving with the equipment and working it out on the day, our team planned around the restrictions and coordinated the different elements of the production to make sure everything was ready when it needed to be.

The result was a production that worked seamlessly across multiple areas of the site, whilst allowing the client and their guests to concentrate on the occasion itself.

Following the event, the client told us:

“From start to finish you were really positive and great to work alongside, despite some very last minute musical additions you took it all in your stride.”

They also highlighted the work our team delivered in the tipi:

“The sound quality for the band was immaculate and we loved what you did with the lighting, you really saw the vision and ran with it.”

Recent project: Private awards ceremony

Our production management work also extends to larger corporate and private functions, where multiple technical disciplines need to come together.

For a recent awards ceremony, GSL provided:

• Staging

• Video walls

• PA

• Radio microphones

• Live streaming

The entire production was managed and delivered by our in-house team.

Rather than having multiple technical suppliers trying to coordinate their own individual elements, the client had one team responsible for bringing the production together.

This simplifies communication, reduces the number of moving parts and gives the client a clear point of contact throughout the project.

The feedback from the client summed up what we strive to provide:

Touring productions

Touring brings its own set of challenges.

A production may visit dozens of venues, each with different access arrangements, technical facilities, staffing levels, equipment and operating procedures.

A successful tour relies heavily on good preparation.

We can assist with venue advances, technical requirements, equipment and crew coordination, access arrangements and communication with venues and suppliers before the production arrives.

Once on the road, having a clear plan means the team can concentrate on delivering the show rather than trying to solve avoidable problems.

And when something unexpected does happen - because it inevitably will on a tour - good production management means having someone who can make decisions and find a solution quickly.

Festivals and outdoor events

Outdoor events introduce another layer of complexity.

Weather, ground conditions, vehicle movements, site access, temporary power, public safety and changing schedules all need to be considered.

A production plan needs to account not only for what happens when everything goes according to plan, but also what happens when it doesn't.

That could mean developing wet-weather plans, coordinating vehicle access, managing delivery and collection schedules, planning crew movements or working with other suppliers to ensure that the site operates safely and efficiently.
